The problem

GreenHood Coffee needed a way for staff to clock in and out, alongside clear visibility for managers to oversee time records. Their priority was to remove the inefficiency of paper logs and spreadsheets by having a single tool that could handle daily attendance, support payroll, and also track annual leave. The solution had to be simple enough for staff to adopt instantly, yet powerful enough to give management reliable oversight.

What we built

We created a lightweight, web-based app accessible via QR code or secure link. Staff can clock in and out with one tap, while managers access a dashboard that brings together all time entries. From there, they can review, download, and manage hours worked linking to payroll, as well as log and track annual leave. The design was deliberately minimal, making it fast, foolproof, and easy to use without training.

Outcomes

  • The app replaced paper processes with a reliable digital system that saves time, reduces errors, and keeps payroll accurate
  • Staff now have confidence their hours and holidays are properly recorded
  • Management benefit from a clear, real-time view of attendance
  • Less admin, better compliance, and more focus on running the business
